§1About AI Meetings
AI Meetings ("we," "us," or "the Service") is a software-as-a-service platform operated by AI Meetings LLC, a Florida limited liability company, at aimeetings.net. Our registered address is 1521 Alton Rd. PMB 106, Miami Beach, FL 33139. We provide an AI-powered meeting assistant that joins your meetings on Microsoft Teams, Zoom, Google Meet, and Webex to offer real-time expertise, note-taking, and knowledge retrieval. The Service operates on a pay-per-use credit system.
§2Account responsibilities
By creating an account you agree that:
- You are at least 18 years old.
- The information you provide is accurate and up to date.
- You are responsible for keeping your password secure and for all activity under your account.
- You will notify us immediately if you suspect unauthorized access to your account.
§3Credits, billing, refunds
Billing
- The Service is billed through a credit-based system. Credits are consumed when the AI assistant actively participates in a meeting.
- All payments are processed securely by Stripe. We do not store your full card number or payment credentials on our servers.
- Unused credits remain in your account and do not expire.
- We reserve the right to change credit pricing with 30 days' notice.
Refund policy
- Unused credits — If you purchased credits and have not used any of them, you may request a full refund within 14 days of purchase by emailing support@aimeetings.net.
- Partially used credits — If you have used some credits from a purchase, we will refund the unused portion on a pro-rata basis within 14 days of purchase upon request.
- Consumed credits — Credits that have already been consumed (i.e., used during a meeting session) are non-refundable, as the underlying AI processing costs have been incurred.
- Service issues — If the Service experienced a technical failure during your meeting that prevented normal operation, contact us within 7 days and we will credit your account for the affected session.
- Refunds are processed back to the original payment method within 5–10 business days.
§4Acceptable use
You agree not to:
- Use the Service for any illegal purpose or to process illegal content.
- Attempt to abuse, manipulate, or exploit the AI assistant (e.g., prompt injection, jailbreaking).
- Scrape, crawl, or automatically extract data from the Service.
- Interfere with or disrupt the Service or its infrastructure.
- Resell or redistribute access to the Service without our written consent.
- Record meetings through the Service where participants have not consented to recording, in violation of applicable law.
§5Your data & encryption
We believe your data belongs to you. AI Meetings is built with end-to-end encryption at its core:
- End-to-end encryption — All meeting content (transcripts, AI responses, documents, briefings) is encrypted with AES-256-GCM using a per-user encryption key that only you control. We cannot decrypt your data.
- Zero-knowledge design — Your encryption key is derived from your password and never stored in plaintext on our servers. We do not have access to your decrypted content at any time.
- Post-meeting purge — When a meeting ends, all temporary processing data (document chunks, embeddings, raw text, research caches) is permanently deleted. Only your encrypted final records (transcript, responses, summary) are retained.
- Data deletion — You can delete any meeting from your dashboard at any time. Deleting your account permanently removes all associated data from our systems.
- No data selling — We will never sell, share, or use your meeting content for advertising, training, or any purpose other than providing the Service to you.

§6Third-party services
The Service relies on third-party providers to deliver its functionality:
- OpenAI — powers the AI assistant's language understanding and responses.
- Recall.ai — provides the meeting bot that joins and interacts with your video conferencing platform.
- Deepgram (optional) — provides enhanced speech-to-text transcription with multilingual support. Only used when you explicitly select "Enhanced Transcription" in your meeting settings. When enabled, meeting audio is streamed to Deepgram for real-time transcription with zero data retention — audio is deleted immediately after processing and is not used for model training.
- Stripe — processes all payments. Your payment card details are sent directly to Stripe and are never stored on our servers.
These providers process data only as needed to operate the Service and are bound by their own privacy and security commitments. You can choose which transcription provider is used for your meetings from your meeting settings.
§7Disclaimers
- AI-generated responses are informational only and do not constitute professional, legal, financial, or medical advice.
- We do not guarantee the accuracy, completeness, or reliability of any AI-generated content.
- The Service is provided "as is" and "as available" without warranties of any kind, express or implied.
- During active meeting sessions, your data is decrypted in server memory for AI processing. This decrypted data exists only in volatile memory and is never written to disk in plaintext.
§8Limitation of liability
To the maximum extent permitted by applicable law, AI Meetings LLC and its members, officers, employees, and partners shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the Service, including but not limited to loss of data, revenue, or business opportunities. Our total aggregate liability shall not exceed the amount you paid us in the 12 months preceding the claim.
§9Termination
- You may close your account at any time from your account settings.
- We may suspend or terminate your account if you violate these Terms or engage in activity that harms the Service or other users.
- Upon termination, your right to use the Service ceases immediately. Unused credits are forfeited.
§10Governing law
These Terms are governed by and construed in accordance with the laws of the State of Florida, United States, without regard to its conflict-of-law provisions.
§11Dispute resolution
If a dispute arises under these Terms, you agree to first attempt to resolve it informally by contacting us at support@aimeetings.net. We will work with you in good faith to resolve the issue within 30 days.
If informal resolution fails, any legal action or proceeding shall be brought exclusively in the state or federal courts located in Miami-Dade County, Florida, and you consent to the personal jurisdiction of such courts.
§12Changes to these terms
We may update these Terms from time to time. When we make material changes, we will notify you by email at least 14 days before the new terms take effect. Your continued use of the Service after that date constitutes acceptance of the updated Terms.
